Policy Trace AI Fee Schedule & Payment Policy

By submitting a case request and selecting "I accept the terms and conditions and the fee schedule" on the Policy Trace AI submission form, you acknowledge and agree to the following legally binding Fee Schedule & Payment Terms.

Payment Policy

Payment Due Date: Invoices are due within five (5) business days from the date of issue unless a written payment arrangement has been made with Policy Trace AI.
Late Fees: A $10 late fee per work week will be applied to any unpaid invoices. The late fee will continue to accrue until payment is received in full.
Payment Methods: Payment options will be clearly outlined on the invoice and may include ACH transfers, wire payments, or other approved electronic methods.
Invoice Disputes: Any disputes regarding an invoice must be submitted in writing to Policy Trace AI within two (2) business days of receipt. Failure to notify us within this timeframe may result in the dispute being waived.
Non-Payment Consequences: Failure to comply with payment terms may result in service suspension, legal action, and additional collection efforts.

No-Hit Fee Policy

Personal and Commercial Policy Limit Searches: No fee will apply if no policy limits are found.
Policy Existence Searches: A $150 no-hit fee applies if no policy information is identified.

Policy Type Adjustments

If a Commercial policy is found when a Personal policy search was requested or vice versa, the invoice will be adjusted to reflect the correct policy type. The client is responsible for any pricing adjustments.

No Guarantees: Policy Trace AI does not guarantee results, and clients are responsible for verifying the information provided.
Internal Use Only: All results are for internal client use only and may not be shared externally.
Compliance: Clients are responsible for ensuring all data and results are used in compliance with applicable laws and regulations.
