Policy Trace AI (“Policy Trace”), a Wyoming company owned by GTC Inc., respects the privacy of the attorneys who engage our services. This Privacy Policy explains what information we collect, how we use it, and how we protect it.

1. Scope of Policy
This Privacy Policy applies to all information submitted to Policy Trace by licensed attorneys in connection with investigative services. Policy Trace does not solicit or collect information directly from consumers or the general public.

2. Information We Collect
Policy Trace collects only the information provided by attorneys, including:

Law firm and contact details,

Attorney or staff contact details,

Case information such as plaintiff/defendant names, case numbers, and dates of loss, and
-
Supporting documents attorneys choose to provide (e.g., police reports, claims letters, insurance cards).
Policy Trace does not independently collect data from consumers, insurers, credit bureaus, healthcare providers, or government databases.

3. Information We Do Not Collect
Policy Trace does not, and will not, collect or provide:

Financial account data such as bank numbers, balances, or transactions (GLBA),

Consumer credit data such as credit reports, scores, or histories (FCRA),

Medical or health records, including protected health information (HIPAA),

Motor vehicle records protected by law (DPPA),
-
Insurance claim file contents, such as adjuster notes or loss histories,
-
Telecommunications data, including phone logs or call records,
-
Government benefit or tax records, or
-
Any other nonpublic personal information restricted by federal or state privacy laws.
Policy Trace is not a consumer reporting agency, does not assemble or furnish consumer reports, and does not evaluate individuals for credit, insurance, employment, or eligibility purposes.

4. How We Use Information
Information submitted to Policy Trace is used solely to perform investigative services directed by attorneys, specifically the confirmation of liability insurance policy limits in accident-related matters.
Policy Trace does not use information for marketing, profiling, resale, or any purpose beyond attorney-directed assignments.

5. How We Share Information

Policy Trace does not sell, rent, or trade information.

Information is shared only with Policy Trace staff performing the investigative assignment.

Information may be disclosed if required by law, regulation, or valid legal process.

6. Attorney Responsibility
By submitting information to Policy Trace, attorneys certify that:

They have lawful authority to provide the information,

Submission complies with all professional and ethical obligations,

Information is provided solely for lawful investigative purposes, and
-
Attorneys remain solely responsible for verifying, safeguarding, and lawfully using results.

7. Data Security
Policy Trace employs reasonable administrative, technical, and physical safeguards to protect information from unauthorized access, misuse, or disclosure. Attorneys are encouraged to submit only the information necessary for the investigative purpose.

8. Limitations of Liability
Policy Trace is not responsible for:

Errors, omissions, or misstatements made by third parties,

Misuse of information by attorneys or third parties, or
-
Any damages resulting from reliance on information without independent verification.
All results are provided strictly “as is,” for informational purposes only, and are not admissible in court as proof of coverage.

9. Corporate Affiliation
Policy Trace AI is a Wyoming company under common ownership of GTC Inc., which also owns Coastal Investigative Research LLC. Each operates separately. This Policy applies solely to Policy Trace AI.

10. Compliance With Laws
Policy Trace complies with all applicable privacy laws and regulations, including but not limited to:

GLBA (Gramm–Leach–Bliley Act),

FCRA (Fair Credit Reporting Act),

HIPAA (Health Insurance Portability and Accountability Act),
-
DPPA (Driver’s Privacy Protection Act), and
-
State privacy laws such as CCPA/CPRA (California), VCDPA (Virginia), CPA (Colorado), and others.

11. Governing Law
This Privacy Policy, and all services provided by Policy Trace, are governed exclusively by the laws of the State of Wyoming.
