Terms & Conditions for Services That Help Trace Insurance Policy Limits

These Terms & Conditions (“Agreement”) govern all investigative services provided by Policy Trace AI (“Policy Trace”), a Wyoming business entity, to licensed plaintiff attorneys (“Client”). By submitting a case through the Policy Trace AI Limits Request Form, the Client acknowledges and agrees to these Terms.

1. Nature of Services

Policy Trace provides investigative services exclusively to licensed plaintiff injury attorneys representing accident victims.

Policy Trace's investigative work is limited to confirming liability insurance policy limits. Policy Trace does not provide legal advice, settlement evaluation, case strategy, or compliance consulting.

2. Purpose of Services

The purpose of Policy Trace's services is investigative only. Our mission is to confirm factual coverage information and to detect or uncover:

  • nondisclosure of liability policy limits,

  • concealment of liability policy limits,

  • misrepresentation of liability policy limits, and

  • fraudulent insurance information.

Policy Trace conducts all investigations in good faith, for lawful purposes, and under the direction of an attorney.

3. Attorney Supervision & Engagement

Policy Trace performs services only under the written direction of licensed attorneys.

Submission of a case through the Policy Trace's Limits Request Form, together with acknowledgment of these Terms, constitutes the attorney’s engagement and written direction. By submitting a case, the attorney certifies that:

  • The submission identifies the matter, including relevant parties and case number;

  • The submission identifies the jurisdiction(s) in which the matter arises.

  • The attorney determines and represents that the requested investigation is necessary, and that attempts have been made, or will be made, by lawful means available before or after filing to obtain liability limits directly through proper channels;

  • The investigative need arises from concerns of nondisclosure, concealment, misrepresentation, or potentially fraudulent insurance information relating to coverage limits.

  • The scope of engagement is expressly limited to the investigation of liability policy limits; and

  • The engagement complies with all applicable professional and ethical obligations.

4. Jurisdiction of Engagement

All services are conducted by Policy Trace as the work of a Wyoming business. Policy Trace operates from Wyoming only and does not place investigative staff or “boots on the ground” in other states.

Clients nationwide acknowledge they are engaging directly with a Wyoming company, and that Wyoming law governs all engagements.

5. Investigative Boundaries

Policy Trace's services are limited to:

  • confirming liability policy limits in accident-related matters, and

  • providing investigative labor solely for informational purposes.

Policy Trace's services are not a substitute for statutory disclosure, discovery, or other legal processes. Attorneys remain responsible for pursuing those processes.

6. Compliance Boundaries – No Restricted Searches

Policy Trace does not, and will not, conduct searches that involve or attempt to access:

  • banking or financial account data,

  • consumer credit reports or histories,

  • medical or health records,

  • insurance claim file contents,

  • telecommunications records,

  • motor vehicle records restricted by law,

  • tax records or government benefit records, or

  • any other nonpublic personal information protected by financial, health, or privacy regulations.

Policy Trace is not a consumer reporting agency and does not assemble, evaluate, or furnish consumer reports, nor provide information to determine creditworthiness, eligibility for credit, insurance, employment, or any purpose governed by the Fair Credit Reporting Act.

7. Informational Use Only

All information provided by Policy Trace is strictly for informational and investigative purposes.

  • Information is delivered “as is,” without warranties of accuracy, completeness, or reliability;

  • Reports generated by Policy Trace are not admissible in court and may not be relied upon as proof of coverage.

  • Attorneys must independently verify all coverage information through appropriate legal channels before reliance or use in litigation.

  • Policy Trace AI does not guarantee, warrant, or represent that any results, analyses, or information produced by its systems are complete, accurate, or free from error, and users acknowledge that inaccuracies, omissions, or misinterpretations may occur. All outputs generated by Policy Trace AI are provided solely for informational and analytical purposes and are not intended to create reliance or serve as a substitute for professional judgment. Policy Trace AI expressly disclaims any responsibility or liability for how its information is used or interpreted in legal, regulatory, strategic, or any other contexts. All results must be independently reviewed, validated, and verified by the user’s attorney, compliance professional, or other qualified expert within the scope of their matter, entirely outside of Policy Trace AI, and users remain solely responsible for ensuring the accuracy, applicability, and sufficiency of any information before relying on it in any capacity.

8. Confidentiality

All information provided to Policy Trace in the course of an engagement is treated as confidential and used solely to perform the agreed services. Policy Trace does not disclose attorney or client information except as necessary to complete the engagement or as required by law.

9. Limitation of Liability

Policy Trace shall not be liable for:

  • errors, omissions, or misstatements made by third parties,

  • delays, refusals, or failures outside Policy Trace's control,

  • reliance placed on Policy Trce's reports without attorney confirmation, or

  • any damages, direct or indirect, arising from the use of Policy Trace's services.

Attorneys accept full responsibility for evaluating, verifying, and relying upon any information obtained through Policy Trace's investigations.

10. No Guarantee of Outcome

Engagement with Policy Trace does not guarantee that liability policy limit information will be obtained, that it will be accurate, or that it will uncover nondisclosure, concealment, misrepresentation, or fraud.

11. Indemnification

The Client agrees to indemnify and hold harmless Policy Trace AI, its parent company, GTC Inc., and its affiliate Coastal Research, as well as their respective owners, employees, and agents, from any claims, liabilities, damages, or expenses arising from the Client’s use or misuse of information provided.

​

12. Corporate Affiliation

Policy Trace AI and Coastal Investigative Research LLC are separate companies under common ownership by GTC Inc. This acknowledgment is made for purposes of transparency. Engagements with Policy Trace are contracts solely with Policy Trace AI.

​

13. Recordkeeping & Accountability

Policy Trace maintains internal records of attorney engagements, including matter name, jurisdiction, necessity certification, and scope of services, for compliance and accountability purposes. Policy Trace does not create or retain call recordings or transcripts.

​

14. Severability

If any provision of this Agreement is found invalid or unenforceable, the remaining provisions shall remain in full force and effect.

​

15. Governing Law & Venue

This Agreement shall be governed by and construed under the laws of the State of Wyoming. Any dispute arising under this Agreement shall be brought exclusively in the state or federal courts located in Wyoming.
